Voice Mail Quick Reference

Accessing Voice Mail

From Your ShoreTel Phone

  1. Press the Voice Mail button on your ShoreTel IP 230/230g.
  2. When prompted, enter # and your 4-digit extension.
  3. Enter your voicemail password (PIN), then press #.

From Off Campus

  1. Dial 859-858-2345 (from an on-campus line, dial 9 first → 9-859-858-2345).
  2. When prompted, enter # and your 4-digit extension.
  3. Enter your voicemail password (PIN), then press #.
Key Menu Item Purpose
1 Listen to Messages Hear and manage new/urgent messages.
2 Send a Message Record and deliver voice mail to an extension or distribution list.
3 Listen to Saved Messages Replay messages you previously saved.
7 Change Mailbox Options Record greetings and name; change password.

1 – Listen to Messages

After you listen to a message, choose what to do next: save it for later, delete it, forward it to another person, or reply directly through voice mail. If you take no action, the message remains in your mailbox for later playback. Urgent messages always play first.

2 – Send a Message

  1. Record your message at the tone.
  2. Press # for options:

Addressing after # Accept: enter extension(s) or list number(s); press # to finish or 0 for options (1 = address by name, 2 = personal distribution list, 3 = broadcast to all users, * = cancel).

3 – Listen to Saved Messages

Press 3 at the main menu to revisit saved messages. All controls from “Listen to Messages (1)” apply — replay, save, delete, forward, or reply as needed.

7 – Change Mailbox Options

Sequence Function Description
7 → 1 Record Greeting Record the greeting for your current availability state. When finished, press #: # Accept • 1 Review • 2 Re-record • 3 Delete • * Cancel
7 → 2 Configure Availability State 1 Available • 2 In a Meeting • 3 Out of Office • 4 Vacation • 5 Custom • 6 Do Not Disturb • 7 Calling to Additional Phones • * Cancel
7 → 3 Re-assign Extension 1 Assign to this telephone • 2 Un-assign • 3 Assign to last external number • * Cancel
7 → 4 Set Password Enter new password twice, then press # to save (* to cancel).
7 → 6 Record Name Record your spoken name. Finish with #: # Accept • 1 Review • 2 Re-record • 3 Delete • * Cancel
* Cancel / Exit Return to the main menu.
