Phone Tips


The Mitel Connect program running on your computer is the best way to set options on your phone, including listening to voicemails, but that is used while on campus.  The instructions below are for using the phone to set options and to listen to voicemail. In some cases you can’t be on campus to do this, so these instructions explain how to do it remotely. 


If you are on-campus, sitting at your phone, you would skip the first three steps by pressing the “Voicemail” button on your phone.


How to Check Voicemail Messages 

  1. Dial 859-858-2345 (Dial 9 first, if accessing from On Campus)

  2. She says “To access your mailbox, enter pound and your extension number”

  3. Enter # and your 4 digit extension.

  4. Enter your voicemail password and then #.

  5. To listen to messages press 1. Once you have listened to the message you have lots of options to do with it. You can save it, delete it, forward it, etc. If you do nothing, the message will remain in your mailbox for later.

  6. When finished, hang up.


How to Record your Voicemail “Out of Office” Greeting 

  1. Dial 859-858-2345 (Dial 9 first, if accessing from On Campus)

  2. She says “To access your mailbox, enter pound and your extension number”

  3. Enter # and your 4 digit extension.

  4. Enter your voicemail password and then #.

  5. She tells you the “state” of your phone like “Available”, “In a Meeting”, etc.

  6. You have to change the state of the phone to “Out of Office” or whatever other one you want to record BEFORE you record the message. So for example you want to record your “In a Meeting” greeting, you change the state to “In a Meeting” and then record the greeting.

  7. Change the state to “Out of Office” by doing the following.

  8. From the Main Menu, Press 7 for Mailbox options and then Press 2 to configure availability state.

  9. She lists the state it is in and then gives options to choose.  1 is Available, 2 is In a Meeting, 3 is Out of Office, etc. Press 3 and then she tells you it is changed to “Out of Office”

  10. She starts listing the Mailbox options again and Option 1 is to record a personal greeting. Press 1 to record the greeting and just follow her prompts to set it. She gives the options to record, re-record, delete, etc.

  11. When finished, hang up.


How to Change Availability State (Out of Office, In a Meeting, etc) 

  1. Dial 859-858-2345

  2. She says “To access your mailbox, enter pound and your extension number”

  3. Enter # and your 4 digit extension.

  4. Enter your voicemail password and then #.

  5. Press 7 for Mailbox options and then Press 2 to configure availability state.

  6. She lists the state it is in and then gives options to choose like 1 is Available, 2 is In a Meeting, 3 is Out of Office, etc. Choose the one you want and then she tells you it is changed.

  7. When finished, hang up.



How to Forward your Desk phone to your Cell phone while On Campus

  1. Press the Option button and enter your voice message password followed by the # sign or press the OK button

  2. While the marker is next to Availability, Press the button under Edit 

  3. Scroll down to Custom and Press Edit

  4. Get rid of the numbers by pressing the Back key until no numbers show.

  5. Enter your cell phone number with a leading 1, the area code, and the number.

  6. Press OK

In order for you to receive the call to your cell, you will need to be in the Custom Mode.  Simply press the STATE button, scroll down so the marker is next to the word Custom and select Custom.  Whenever you want to stop the calls from going to your cell phone, press the STATE button and select AVAILABLE in order for the calls to ring in your Shoretel/Mitel phone.
