How to Access Monthly Budget Reports

Congratulations on being given access to your budget data! On our new platform, Dynamics GP, all access occurs through a web page. You have been given access to view those accounts for which you are responsible.  If you see any other accounts, please email helpdesk@asburyseminary.edu immediately.

If you are on a Mac, open the Finder, and either go to the "Go" menu and then "Connect to Server..." OR type ⌘K (again in the Finder).  Then type in:  smb://ats-gpreports.asburyseminary.priv/ATS

If you are on a PC, click on the Windows Explorer icon in the taskbar at the bottom of your Windows desktop.  It looks like this:


In the bar at the top (the URL bar), type this in:  \\ats-gpreports.asburyseminary.priv\ats 

From this point on, the instructions are the same on a Mac or PC:

You will see a folder/window appear with several icons in it ending in “.url”.  

For Departmental Reports:

To view the most up to date report for the current fiscal year, double click on the file labelled “Dept Budget Report - Current Fiscal Year”.  (“Dept Budget Report - Last Fiscal Year” is also available annually for 3 months.) 

For Faculty OR 711 Restricted Funds:

Double click on the file labeled “Faculty Development Funds” OR the “711 Reports” folder to see the current reports.

This will open your default web browser. It will ask you for your username and password.  Use your standard Asbury Connect password for this, but put "asburyseminary\" in front of your username.  For example, asburyseminary\firstname.lastname.

Now you *should* see your first department report appear on the screen. Regardless, to get to the departments to which you have been granted access, click on the icon in the lower left of your screen (pictured below), and then select the account you want to see from the menu.  You should only be able to access departments in bold/black; grayed out departments are visible but will not be accessible.  In addition to vertical scrolling in the menu, you may have to also scroll horizontally to see all of the departments.


From the level of the main budget report, you can click/drill down into the individual budget lines under the description column, and see successively greater details. The more levels you click down, the more detailed the information you will see, until you finally get to the actual transactions organized by month, which are labeled and organized by “Period” - e.g. “Period 1” = July, etc.  (The wording/”memo line” on the lowest level is what was entered for the description. So be descriptive! It'll help you later.)

NOTE: When you're viewing the report in your browser, do not save the page/URL as a browser favorite. These reports are updated on a regular basis and when this is done the URL actually changes. So, if you save the browser URL and pull it up later, you may actually be looking at an old version of the report with old data.

You can’t “break” anything, since this is a web viewer only, so feel free to play around as much as you like! :)
